Complys Product Improvement Competition — Terms & Conditions

These terms apply to the Complys Product Improvement Competition. By entering the competition, you agree to these terms and conditions.

1. Promoter

The competition is operated by Complys Technology Ltd ("Complys", "we", "us" or "our"), registered in England and Wales, company number 17084632, ICO registration ZC175190.

2. Competition period

The competition is open from the date it is published and closes at 11:59pm (UK time) on 15 December 2026. Entries received after the closing date will not be eligible for a competition prize. Suggestions submitted after the closing date may still be considered by Complys as general product feedback.

3. Who can enter

The competition is open to UK residents aged 18 or over who are current Complys customers, trial users or registered Complys users. Employees of Complys, contractors directly involved in the development or judging of the competition, and their immediate family members are not eligible to win. No purchase is necessary to enter.

4. How to enter

To enter, complete the competition entry form and submit an idea, suggestion or improvement for Complys before the closing date. Suggestions may include: improvements to an existing feature; ways to make Complys quicker or easier to use; new features or functionality; integrations; improvements to the Complys mobile app; processes or software that Complys could potentially replace; or other ideas that could improve Complys for its users.

You may submit more than one entry, provided each entry contains a genuinely different suggestion. There is no requirement for an idea to be a large or completely new feature. A simple improvement that significantly benefits users may be selected as a winning entry.

5. Anonymous feedback

You may choose to submit feedback anonymously instead of entering the competition. Anonymous feedback:

  • does not require your name, business name or email address;
  • will not be entered into the competition;
  • is not eligible for a prize; and
  • may still be reviewed and considered by the Complys product team.

If you wish to be eligible for a competition prize, you must submit a competition entry and provide a valid email address so that we can contact you.

6. Prizes

The prizes are: 🥇 First Prize — 12 months of Complys free; 🥈 Second Prize — 6 months of Complys free; 🥉 Third Prize — 3 months of Complys free.

The free subscription period applies to the winner's existing eligible Complys subscription plan or an equivalent standard plan determined by Complys. Where a winner already has an eligible paid subscription, the prize will normally be applied to that account as a free subscription period or equivalent account credit. Prizes do not include bespoke development, third-party charges, usage-based services, additional paid services or other costs outside the applicable standard Complys subscription unless we expressly agree otherwise.

Prizes have no cash alternative, cannot be resold, and are not transferable without the written agreement of Complys. Complys may, at its discretion, recognise additional entries with additional prizes or free subscription periods. This does not affect the three advertised prizes.

7. How entries will be judged

Eligible entries will be reviewed by the Complys team using the following criteria:

  • 30% — Value to users: how much time, effort, cost or frustration could the suggestion save?
  • 20% — Ease of use: would the suggestion make Complys simpler, quicker or easier to use?
  • 20% — Wider usefulness: could the suggestion benefit a meaningful number of Complys users?
  • 20% — Compliance or business impact: could it improve compliance, record keeping, productivity or business management?
  • 10% — Innovation: does the suggestion provide a useful or original approach to solving a problem?

Entries will be judged on the quality and potential value of the suggestion, not on popularity or the number of votes received. The judges' decision will be final, subject to correcting any genuine administrative or scoring error.

8. Similar or duplicate ideas

More than one entrant may independently submit the same or a similar idea. Submitting an idea first does not automatically give an entrant ownership of that concept or guarantee that the entry will win. Where substantially similar entries are received, Complys may consider factors including the quality, detail, practicality and usefulness of each submission when judging them.

9. Existing and independently developed ideas

Complys continually develops its platform. We may already be researching, planning, designing or developing functionality that is identical or similar to an idea submitted through this competition. Submitting an idea does not give the entrant any rights over existing Complys functionality, existing development plans or ideas independently developed by Complys or another party.

10. Submitted ideas and intellectual property

By submitting a competition entry or product feedback, you confirm that you are entitled to submit the material and that, to the best of your knowledge, doing so does not infringe another person's intellectual property rights. You retain ownership of intellectual property rights you already hold in original material submitted with your entry.

By submitting an idea or feedback, you grant Complys permission to use, review, reproduce, adapt, develop, modify and implement the suggestions and feedback contained in your submission for the purpose of developing, improving, operating and commercialising Complys products and services. No additional fee, royalty or compensation will become payable solely because Complys subsequently develops or releases functionality that is the same as, similar to or influenced by a submitted suggestion, other than any competition prize expressly awarded under these terms.

11. Winning does not mean the idea will be built

A winning entry is not a promise or commitment by Complys to develop, implement or release the submitted idea. Winning ideas may be developed as submitted; modified or combined with other ideas; considered for future development; or not developed at all.

All decisions concerning Complys's product roadmap, development priorities, technical implementation and release dates remain entirely with Complys. No development or release date is promised as part of this competition.

12. Winner notification

We aim to select and contact the winners within 14 days of the competition closing. Winners will be contacted using the email address provided with their entry. If we cannot contact a winner, or they do not respond within 14 days of our notification, we reserve the right to select another eligible winner.

13. Winner publicity

Winning does not require you to agree to public promotion. With a winner's separate permission, Complys may publish or share their name; business name; winning suggestion; and/or comments about the competition.

We will ask for this permission before using a winner's details for promotional publicity. Refusing publicity will not affect a winner's entitlement to their prize.

14. Personal information

Personal information provided when entering will be used to administer the competition, assess entries, contact entrants where permission has been given and notify winners. Personal information will be handled in accordance with the Complys Privacy Policy and applicable data-protection law. Entering the competition does not automatically subscribe you to marketing communications. Where marketing consent is requested, it will be presented separately and will be optional.

15. Contacting entrants about their ideas

Where you separately agree that the Complys team may contact you about your suggestion, we may contact you to better understand the problem, proposed improvement or how you currently use Complys. Agreeing to such contact is optional and does not increase or decrease your chances of winning.

16. Fair administration

Complys reserves the right to reject entries that are fraudulent, abusive, offensive, unlawful, deliberately misleading or otherwise breach these terms. We may also take reasonable steps to deal with technical failures, attempted manipulation or circumstances outside our reasonable control that materially affect the fair administration of the competition. If a significant change to the competition becomes necessary, we will aim to communicate it clearly and fairly to entrants.

17. Liability

Nothing in these terms excludes or limits liability where it would be unlawful to do so. To the extent permitted by law, Complys will not be responsible for entries that are lost, delayed or not received because of technical problems outside our reasonable control.

18. Governing law

These terms and the competition are governed by the laws of England and Wales, and the courts of England and Wales will have jurisdiction, subject to any mandatory rights an entrant may have as a consumer in another part of the UK.
